Acceptable Use Policy

Version: 1.0 · Owner: Pocket PMO Ltd · Approval status: Approved · Review date: annually

Purpose

This policy sets out the rules customers agree to follow when using Pocket PMO.

Prohibited use

Customers must not use Pocket PMO to:

  • Store or process special-category personal data under UK GDPR Article 9 (health, biometrics, sexual orientation, race, political views, religious beliefs, trade-union membership) unless specifically agreed in writing with Pocket PMO.
  • Store or process criminal-offence data under Article 10.
  • Store or process children's personal data where a data-protection impact assessment has not been completed.
  • Attempt to bypass authentication, authorisation, rate limiting or audit controls.
  • Attempt to extract or interfere with another tenant's data.
  • Submit content that infringes intellectual property or is unlawful, defamatory, or discriminatory.
  • Use AI features to generate content that would breach applicable laws (including data-protection or intellectual-property laws) or to make solely automated decisions with legal or similarly significant effect on individuals.
  • Upload malicious software.
  • Use the platform to send unsolicited bulk communications.

Meetings, recordings and transcripts

Where the customer uses the meeting recording or transcription features, the customer is responsible for:

  • Informing participants that the meeting is being recorded and processed.
  • Having a lawful basis to record and process.
  • Managing retention within their own retention policy.

AI use

  • AI outputs are advisory. Customers must review AI suggestions before applying them or communicating them externally.
  • AI features must not be used to profile individuals in a way that produces legal or similarly significant effects.

Free project allowance

The no-card evaluation allowance is limited to one real project and one snapshot report per new account. Attempts to create duplicate accounts, bypass plan controls or automate repeated free allowances are prohibited.

Public tools have their own displayed allowances. The AI RAID generator currently provides two AI extractions and two exports per browser, with an additional hourly IP limit. Attempts to clear counters, rotate identifiers or automate calls to evade these controls are prohibited.

Reporting abuse

Suspected abuse should be reported to admin@pocketpmo.co.uk.

Enforcement

Pocket PMO may suspend or terminate accounts found to be in breach of this policy in line with the Service agreement.

Owner confirmation required

  • Contractual enforcement wording (L-04).
