Pocket PMO Changelog
Every meaningful update we ship, features, improvements, and the occasional fix. Updated weekly.
improvement
v3.24 20 October 2026Clearer Assistant reporting, sharing and board packs
- •A first-report guide takes Assistant users from tracker upload or sample notes through review and approved sharing
- •Saved projects open a report-based Overview, with separate Edit report and New report tabs; add missed context without retyping the draft
- •Saved projects offer Snapshot, PDF, Word, PowerPoint board slides and executive brief downloads
- •Board packs include every report section, including empty sections to complete, with naturally proportioned logos on white slides
- •Adding a report reader sends an invitation email with the link; invite-only access and emailed-code verification remain in place
- •Sharper Assistant marketing examples, clearer report ratings, improved dark-mode contrast and more accurate retention guidance
feature
v3.23 15 October 2026Assistant weekly cycle, richer Snapshots and a free trial
- •Free Assistant trial: one status-pack project, one Snapshot, one RAID log and one saved document, then £14.99 a month
- •Upload Word and PowerPoint files as well as CSV and Excel trackers
- •Meeting capture turns notes into actions, risks and decisions for you to approve, plus a RAID health check
- •Portfolio Snapshots from multi-project trackers, a 'What changed' comparison, board slides and an executive brief
- •Snapshots now show editable Overall, Time, Budget and Scope ratings, milestone progress with a full-plan view, an optional budget section and who prepared the report
- •RAID groups are shown as separate lists with Active and Closed views; customer logos sit in a clean identity box on reports and downloads
- •New Assistant dashboard with a Project at a glance work desk, Assistant-specific guides and an account page
feature
v3.22 10 October 2026Pocket PMO Assistant: status packs for projects run elsewhere
- •New Assistant plan (£14.99 a month or £149 a year) for project managers who keep their projects in another tool
- •Paste notes or upload a CSV or Excel tracker and Alex drafts an editable status pack and RAID log from your facts only
- •Review and approve a branded, shareable web Snapshot with a personalised host, optional reader questions and invited-reader access controls
- •Wipe local drafts or save up to two projects privately with weekly history; publishing separately stores the approved Snapshot
- •Manage, pause or delete published links after wiping; saving a published pack keeps the same link
- •Downloads use the Pocket PMO house style in PDF and Word
feature
v3.21 9 October 2026Explore before setup, plus a free AI RAID tool
- •New accounts can keep the three-minute guided tour or explore a live sample project before adding a client and setting up one real project free
- •The guided tour now pauses between chapters, follows off-screen actions on mobile and ends with a choice to explore a live project or create your own
- •The public RAID log generator can extract editable risks, assumptions, issues and dependencies from pasted notes, with two free AI uses and two free exports per browser
- •Free RAID Word and PDF files now use the same dark-blue Pocket PMO report header and contrast-safe white artwork as signed-in reports
- •Marketing, help, pricing and policy pages now explain the no-card free project, live sample project and public AI processing consistently
feature
v3.19 16 September 2026Free PM tools, and the whole app in your language
- •A free tools hub at /tools with a board report builder, a weekly status report generator and a steering committee deck outline alongside the existing RAID log generator. Each one runs entirely in your browser, needs no account, stores nothing, and downloads as Word or PDF
- •Every screen inside the app now switches language, across all 29 supported languages, including the menus, dashboard, lifecycle pages, registers, reports and snapshots. Public marketing and legal pages remain in English
- •Language can now be changed on a phone while signed in: open the menu and use the new Language section
- •The top-level pages — Dashboard, Agent Inbox, Drawing Board, Roadmap, Pipeline, Projects and Lessons Library — now fit the screen instead of scrolling the whole page
- •The sign-in page has been rebuilt in the brand purple with the delivery lifecycle ring, so it matches the rest of the site
- •New honest comparison pages for Smartsheet, ClickUp and Planview, each stating plainly what the other tool is better at
- •A public security and governance page covering approval-first AI, no training on your data, encryption, tenant isolation, audit logging and our GDPR position — including the certifications we do not hold
- •The portfolio management page now covers capacity rebalancing, risk aggregated across projects and predictive delivery scoring properly
- •Every help guide now has an illustration, and the guides added over the last few releases are no longer missing images
- •Fixes: repeated card payment attempts can no longer grant the same extra seat twice, email bounces, complaints and unsubscribes are recorded correctly again, and the Pocket PMO logo now returns you to the right place whether you are signed in or out
- •Wording corrected across the marketing pages: the old Light and Full governance tiers no longer exist, so pages now describe the single full toolkit with optional areas switched on per project
feature
v3.18 14 September 2026Private reports, and a host who opens the conversation
- •Every published report now has an access setting: invited people only, or anyone with the link. New reports default to invited only; links you have already shared keep working exactly as before
- •Invited readers enter their email address and a 6-digit code we email them, valid for 15 minutes. One correct code keeps that browser trusted for 30 days, and unknown addresses get a neutral reply so the link cannot be used to fish for names
- •The share dialog shows who can open the report: the invited list with whether they opened it, when, how many questions they asked, and a Remove button that ends their access immediately
- •The host on a published report now speaks first, offering to talk the reader through the latest status before they start asking questions
- •The private context box is now What is the latest status update? — what moved, what's stuck, what changes the date. It stays off the report, and doubles as the script for the opening walkthrough
- •When a reader asks something the report cannot answer, the host never guesses: it offers to follow it up, logs it as an action on the project and always files it in your Agent Inbox with the reader's name and the report it came from
improvement
v3.17 10 September 2026Prove it with one project before choosing a plan
- •New accounts can build one real project and try snapshot reporting before choosing a plan, with no payment card required
- •The first-project setup captures the delivery approach, strategic goal, MoSCoW priority, roadmap horizon, sponsor, dates, budget and scope so the project starts complete rather than needing rework
- •After choosing a plan and creating a client, the project can be assigned to that client and its linked roadmap and approved pipeline records are created once from the information already supplied
- •The main menu now follows one clear lifecycle on mobile and desktop: Drawing Board, Roadmap, Pipeline, Projects, Portfolio and Lessons Library, while Change Board sits with audit history under Governance Centre
- •Snapshot reports have a brighter presentation, flatter RAID cards, optional private briefing context and a clear choice between your own report host and the default AI host
- •Install prompts now wait until onboarding is complete and the dashboard is settled, and no longer interrupt confirmation, plan selection or report journeys
- •Security hardening adds stronger account and organisation validation, sanitisation and rate limits to public request forms, and tightens access to pending access requests, stakeholders, documents, organisation logos and webhook secrets
- •Fixes include stable last-client selection, client-scoped projects, roadmap and lessons, safer duplicate prevention by linked record rather than title, and clearer mobile menus and dialogs
feature
v3.16 4 September 2026Reports that carry the story behind the numbers
- •Private briefing notes on any report: add the context you would normally say out loud — "five of twelve units installed, one faulty swap cost us three days" — and the report assistant answers with that depth. The note is never printed on the report
- •Choose your report host at the moment it matters: the first time you share a report you pick your own face and name, or keep the default AI host. No avatar step buried in sign-up any more
- •Governance Centre: a proper home page for governance with rolled-up stats, and a left menu grouped into Documents, Reports and Logs instead of a flat list
- •Project pages rebuilt as a command centre: one banner, health, completion probability and next milestone up top, a "needs you today" panel, and Project settings collapsed at the bottom of the menu where it belongs
- •App Store redesigned around proper app tiles so modules are easier to scan and install
- •Every AI action now shows a real progress indicator instead of a silent spinner
- •Launch offer live: 15-day free trial, 50% off your first three months, and a free guided setup session — requests now raise a support ticket and email us, so nothing is missed
- •Marketing site standardised: one header style, one desktop width, and the problems we solve ranked up front with links that land on the right page
- •Fixes: email confirmation now hands you back to your original tab, the offline notice no longer appears while you are online, the first visit no longer reloads itself, whiteboard autosave is off, lessons and roadmap items stay inside the client they belong to, and the shared report page renders on the server again
improvement
v3.15 1 September 2026One way in: every request now starts on the roadmap
- •All intake lands on the roadmap backlog (Later) — the in-app New request form, your shareable stakeholder form and the embedded form. Nothing skips straight into the pipeline any more
- •The pipeline board opens with a read-only Backlog column mirroring unprioritised roadmap items, with Prioritise · Next and Prioritise · Now buttons so you can raise the entry without leaving the board
- •Prioritising to Now or Next is the only route into the pipeline, and it raises exactly one entry — pre-filled with MoSCoW, horizon, dates, investment, value, confidence and strategic goal
- •Roadmap edits now flow down to the linked pipeline entry, so the two can never drift apart
- •Moving an item back to Later parks its entry as Deferred instead of deleting it, and an approved decision is never walked back
- •Approving a pipeline entry pulls its roadmap item up to Now, keeping one item and one truth across the lifecycle
- •Help guides, request-form confirmations and terms updated to describe the roadmap-first path
feature
v3.14 29 August 2026Your face on your reports, and one floating agent everywhere
- •Create your own AI team: name each agent and give them a face. Upload a photo and it is stylised into a portrait, or pick from the built-in team — your names and faces then follow the agents everywhere they appear
- •Your avatar on shared reports: add your face right after sign-up (or later from your account), and every snapshot you publish is hosted by you — recipients see "Hosted by you", your portrait, and "Ask [your name]" on the report assistant
- •Better report answers: the report assistant now replies in a set shape — a bold headline answer, labelled bullets with the exact figures, and a closing "so what" line — in plain British English, strictly from the frozen report data
- •One floating agent: the per-board widgets (pipeline brief, standup, portfolio brief) are gone. There is now a single floating agent, pinned to the bottom corner on mobile and desktop, wearing the right agent face for where you are and able to run those actions on request
- •Lifecycle agents that do the work: your PMO lead, programme manager and project manager now act on their own boards — adding roadmap items with MoSCoW and goals, moving pipeline items through approval, handing you to project creation, drafting snapshots and filing lessons — always as a proposal you approve
- •Pipeline is on by default, no enabling step, and boards update live without a refresh
- •Sign-up now asks for your password twice, and photo uploads accept iPhone HEIC files with an honest progress indicator
feature
v3.12 16 August 2026Scope you approve item by item, plus light procurement and quality
- •Scope register: add scope as individual items and move each one between in review, approved, out of scope and removed, so a scope change is a decision with a trail rather than an edit to a text box
- •One-click import turns your existing in-scope and out-of-scope text into items, nothing is lost
- •Change requests can be linked to the scope item they affect, and the project summary shows an approved / in review roll-up that deep-links into the Scope tab
- •Light procurement: a contracts and suppliers register with committed value, renewal and expiry warnings 90 days out, and an AI-drafted Procurement Plan
- •Light quality: acceptance-criteria coverage, latest test pass rate and the areas needing attention rolled up inside project Health, with an AI-drafted Quality Plan
- •Both new registers update in real time across your team and are covered by the same audit history and access rules as the rest of the project
feature
v3.10 18 August 2026A snapshot at every lifecycle stage, with sharing you can switch off
- •Shareable snapshots now cover every lifecycle stage: roadmap, pipeline, lessons library, project status and the portfolio, each with an on/off sharing switch so a link can be retired without deleting it
- •Status report snapshot available straight from the Projects header, so the grid and the shared report always tell the same story
- •Roadmap gains the same AI signal rail as the other boards: value in the plan, strategic alignment, sequencing gaps and the items that need a decision
- •Portfolio board tidied: one delivery confidence score shared by the value lens and the execution summary, duplicate stat cards removed and the programme brief restored to the top
- •Lessons library no longer repeats its summary cards, the 360 lessons loop rail leads instead
feature
v3.11 15 August 2026Smart scheduling: change one date, reschedule the whole plan in a click
- •Ripple reschedule: change any task date and Pocket PMO works out every knock-on task and milestone, then asks before writing anything, with a before and after list and a warning if it pushes past the project end date
- •Move everything, move blocking work only, or leave it alone, each applied as one batch with a single audit entry
- •Add work with AI: describe what you need in plain English and get dated tasks with durations, owners and the dependencies they imply, scheduled around the existing plan
- •Parallel or sequential: the planner judges whether new work can run alongside the plan or must wait, and proposes the dependency instead of guessing
- •Replan options: resequence, compress or descope built from your real tasks, each dated and applied through the same approval, now with clear feedback when a suggested change cannot be dated
- •Overdue quick action: shift a slipped task and everything after it in one click
feature
v3.9 14 August 2026The Governance Centre, a promoted Agent Inbox and Pocket PMO on the go
- •Governance Centre: one hub for governance with a rolled-up home page, grouped navigation for the document library and document generation, the report and snapshot suite, scheduled reports and project logs
- •Agent Inbox promoted out of the AI menu to top-level navigation, with Automations as a tab inside it, so background findings and the rules that raise them sit together
- •Focus tab consolidated: alerts, findings and things to do are now one ranked list using shared delivery-signal thresholds instead of competing panels
- •Pocket PMO on the go: installing the app on your phone opens the voice assistant rather than a shrunken desktop app, with natural spoken replies and a session history
- •Quick voice commands from the dashboard lifecycle widget: hold the orb, speak the update, approve the draft it logs
- •Meetings tidied up: real clock times on agenda items, mobile-friendly date fields, honest progress indicators and shareable project snapshots in place of Word and PowerPoint packs
- •App Store redesigned with Apple-style app icons and clearer add-on states
- •Menu tightening: low-usage tools moved under More tools, scheduled reports moved into Governance and the global daily standup entry removed (it still lives in every project)
- •Larger, clearer lifecycle ring on mobile with swipeable dashboard widgets and a footer that sits correctly in the installed app
feature
v3.8 6 August 2026Dashboard status reports, shareable snapshots and executive-grade charts
- •New "Status report" tab on the dashboard: pick any live project and read a full board-grade status report — health, RAG, RAID, tasks, milestones and workload — without leaving the dashboard
- •Share a snapshot: generate a login-free link to the status report, with a project switcher so one link covers your portfolio. Frozen at the moment you generate it, with an AI-drafted executive summary you can collapse
- •Executive summaries are collapsed by default and the report is far denser, so key numbers land above the fold
- •Charts and graphs across the whole product moved to one gold-standard set: gradient donuts with centre totals, ranked bars, stacked workload columns and trend areas — project health, portfolio dashboards, finance, coverage, benefits and prioritisation all match
- •Lifecycle ring previews now open on click rather than hover, and always stay inside the window
- •Lessons you own (including AI-drafted ones) can be edited and shared organisation-wide straight from the lessons library
- •Public request forms inherit your organisation logo and brand colour automatically, with a one-tap "Use organisation logo" reset
- •Assignment emails are more reliable: the server now falls back to a teammate's account email when a project resource has none recorded
- •Portfolio and project side menus lead with Overview, with "Back to dashboard" moved to the footer
- •Dashboard layout fixes: the status report and PMO widgets scroll inside their own panel instead of stretching the dashboard, and the project list fills the space above Documents and Recent activity
feature
v3.7 5 August 2026Project phases, confidential projects and a proactive delivery watcher
- •Project phases: run a follow-on phase inside the same project instead of creating a new one. Every register stamps to the live phase, closed phases become read-only, and the phase switcher only appears once a second phase exists
- •Completing the Closure stage now prompts you to either close the project or start a new phase, with the same route offered from step one of the closure dialog
- •Reporting, roll-ups and dashboards follow the current phase by default, with historic and merged views available so one project stays the single source of truth
- •Confidential projects: a per-project toggle limits visibility to the creator and organisation admins. Everything else in a licence is now visible to your PMO team by default
- •Proactive delivery watcher: a scheduled scan raises findings for drift, stale items and unowned work, and drafts fixes for you to approve. Nothing is executed or sent automatically
- •Default client: star a client to make it your default so the dashboard never opens empty, falling back to your last visited client, then your first client
- •"Draft a project" replaces "New private project" on the Drawing Board, and every private project shows its roadmap horizon with a fast-track route to a client
- •Fixed duplicate pipeline requests when moving roadmap items between Now and Next, with database safeguards to prevent recurrence
- •Density pass on the dashboard and project pages brings key numbers above the fold with far less scrolling on laptop screens
- •People fields across tasks, RAID and roadmap now assign teammates with an in-app notification and email, and update in real time for everyone
feature
v3.6 28 July 2026Straightened lifecycle: Drawing Board → Roadmap → Pipeline → Client project
- •The roadmap is now the true source. Creating a private project on your Drawing Board automatically raises a linked roadmap item (Later) instead of jumping the queue into the pipeline
- •Prioritising a roadmap item to Now or Next creates the pipeline entry for you, pre-filled with the roadmap and exec lens — MoSCoW, horizon, dates, investment, value, confidence and strategic goal
- •Pipeline entries show a "From roadmap" link back to their source, and roadmap items correctly say "Open project" or "Open pipeline entry"
- •Approving a pipeline entry that came from a private project now offers "Promote private project to a client" — no more duplicate projects
- •New "Fast track" action on Drawing Board projects pushes straight to a client while still writing the audit trail: roadmap moves to Now, an approved pipeline entry is created and the project carries a "Fast tracked" label
feature
v3.4 7 July 2026Private Space (Drawing Board) — a personal workspace for notes, ideas and private projects
- •New Private Space pinned in the workspace switcher: capture notes, ideas, boards and rough projects without exposing anything to your client organisations
- •Drawing Board hub with its own dashboard, sidebar and full-width desktop canvas — client-scoped pages (Dashboard, Portfolio, Pipeline, RAID, AI Hub) are hidden while Private is active so you cannot leak context between workspaces
- •Quick-capture shortcuts: ⌘⇧N for a new note, ⌘⇧I for a new idea — works from anywhere in the app
- •Promote to client: convert a private project, note or idea into a real client project (or attach a note to an existing one) with a 30-day undo window. Promotion now correctly switches your active workspace to the destination client
- •Bi-directional linking between Drawing Board items and client projects, with a new Workshop tab on each project surfacing linked private notes and ideas
- •Delete actions across notes, ideas and boards fully wired up with optimistic UI and audit logging
- •Marketing site standardised on the max-w-[1400px] container for a consistent desktop layout
improvement
v3.3 1 June 2026AI reframed as capabilities on demand, quieter, more professional
- •New "Needs your attention" dashboard panel, quiet, scannable list of AI drafts awaiting approval, overdue tasks, unowned RAID items and unmitigated high risks. No avatars, no chat prompts
- •Daily Standup renamed to Daily Brief, a concise summary generated on demand, not a personified conversation
- •AI chat / voice assistant demoted to opt-in panels so the dashboard leads with deterministic widgets (Completion Probability, Execution Friction)
- •Marketing repositioned: "AI Capabilities, On Demand", workflows you trigger (generate report, draft risks, rebalance capacity, simulate change) rather than colleagues that "do standups"
- •Policies, help guides and tooltips updated to match: AI is the tool, the PM stays in control
improvement
v3.2 27 May 2026AI Hub restructure, governance grouped into parent tabs, mobile polish
- •AI Hub split into Portfolio AI (native runners for Capacity Rebalance and Priority Scenario) and a discovery directory for project-embedded tools, same pattern mirrored in each project's AI Tools tab
- •Governance features now live inside their parent tabs: Health Checks under Health, Baselines under Plan, Benefits under Reports, no more bolted-on top-level tabs
- •Mobile fixes across Baselines, Benefits, Communications Plan, Lessons Learned, Health Checks, Timesheets, Capacity Heatmap and Prioritisation, no more horizontal scroll
- •Dismissed pop-ups (PWA install prompt, cookie banner, app-install tiles, tutorials) now stay dismissed permanently, re-trigger the install prompt from the menu when you want it back
- •Security hardening: HTML-escaping applied to all transactional email templates (assignment, enterprise enquiry, report share, team invite) to prevent injection
feature
v3.1 23 May 2026Governance suite, Baselines, Benefits, Comms, Lessons, Health Checks, Timesheets
- •Multi-factor authentication (TOTP) via authenticator apps, enrol from Settings → Security
- •Project Baselines: snapshot your plan and track schedule/scope variance with an AI-drafted variance narrative
- •Benefits Register: define KPIs, capture measurements, visualise trends and get an AI realisation forecast from Morgan
- •Capacity Heatmap (/portfolio/capacity): see over- and under-allocation across the portfolio with AI rebalancing suggestions
- •Communications Plan, Lessons Learned, 4-dimension Health Checks and Timesheets, all available per project from the sidebar
- •Portfolio-wide pages for Programme Milestones, Risk Exposure, Prioritisation scenarios and a cross-project Lessons Library
- •Granular notification preferences with Quiet Hours and daily/weekly Digest mode
feature
v3.0 23 May 2026Microsoft 365 integration, Outlook, Teams & SharePoint
- •Connect your Microsoft 365 account from Settings → Integrations (OAuth with PKCE, AES-GCM encrypted tokens, admin-consent aware)
- •Milestones automatically sync to your Outlook calendar on create, update and delete when calendar sync is enabled
- •Send snapshot and status reports from your own Outlook mailbox, PDF attachments and HTML body via Microsoft Graph
- •One-click "Post to Teams" and "Save to SharePoint" actions on project reports, with per-project Team/channel and SharePoint folder linking in Project Settings
- •Install gated via the App Store (microsoft_365 tile); soft-revoke on disconnect preserves audit history; expired OAuth state rows are auto-pruned
improvement
v2.9 30 Apr 2026Project navigation, Snapshot Finance & unified Summary
- •New persistent project side menu on desktop & tablet, collapsible icon rail, grouped & collapsible sections, remembers your layout
- •Mobile keeps the familiar bottom-sheet menu, no behaviour change on phones
- •Summary and Report are now a single tab with a Focus / Full toggle and a direct "Open full report" link
- •Project Snapshot gains a Finance module, budget vs forecast vs actuals breakdown with a clean empty state and Print/Save PDF
- •Portfolio Timeline filters now scope per tab, with Milestones chips for Active, At Risk, Overdue, Due this week and Done
- •Global label polish, consistent status and delivery-approach casing across RAID logs and Pipeline
- •Legacy ?tab=report links automatically redirect to the merged Summary view
feature
v2.8 27 Apr 2026App Store, Pocket PMO is now modular
- •New App Store at /apps, install only the modules you need (AI Hub, AI Project Team, Daily Standup, Pipeline, Change Board, Meetings, Audit Pack)
- •Core experience stays focused: Projects, Plan, RAID, Dashboard and one-click Reports are always on
- •Smart prompts surface install suggestions in context (e.g. 3+ change requests → install Change Board)
- •Brand-new "First value in 5 minutes" activation checklist replaces the legacy onboarding, auto-progresses as you create your first project, task and report
- •Change Board now mirrors Pipeline, installable on demand with shareable & embeddable submission forms
feature
v2.7 27 Apr 2026Audit & WIP Dashboard, be audit-ready at the click of a button
- •New PMO module: Master WIP table with revenue-to-recognise, cost-to-complete and audit-ready scoring per project
- •Evidence register, upload QS reports, UAT certs and invoices, or link existing project documents and change requests in two clicks
- •IFRS 15 / FRS 102 disclosure pack with selectable governance components (evidence register, sign-off log, change & variance log, management rep letter)
- •Editable WIP, evidence and exceptions exports with full change history captured in wip_change_log
- •Inline edit of contract value & cost-to-complete, sign-off workflow, and a one-click "Generate Audit Pack" PDF
- •Streamlined manual project creation, Basics step now uses progressive disclosure with collapsible People & Tabs sections
improvement

improvement
v2.2 27 Mar 2026Approval-first AI everywhere

- •Per-agent on/off toggles in Settings → AI
- •Audit log of every AI proposal, approval and rejection
