project closure template

Three-step closure: confirm deliverables, transfer to operations, capture lessons. Sponsor sign-off included.

Projects don't end when the build finishes, they end when operations have accepted the handover, benefits tracking has started, and the sponsor has signed off. This template gives you a structured three-step closure that satisfies audit and gives the team a clean stop.

Step 1 confirms every deliverable in the charter has been met (or formally descoped). Step 2 transfers responsibility to operations with named owners and support arrangements. Step 3 captures lessons and benefits tracking arrangements.

In Pocket PMO, the 3-step closure wizard guides you through each step, pulls live data from your project, and produces a signed PDF for the sponsor.

What's inside

  • Three-step closure structure (deliverables → handover → lessons)
  • Deliverable acceptance checklist tied back to charter
  • Operational handover with named owners and support model
  • Benefits realisation tracking schedule
  • Sponsor and PM sign-off block

When to use it

  • End of every project, never optional
  • Phase or stage closure within a programme
  • Forced early closure (cancellation), still required for audit

The PDF is fine. The live version is better: auto-fill from your project, full audit trail on every change, AI Project Team drafts the tricky sections, and steering committees see one canonical version, not a stale spreadsheet copy.
